Job Description

We are looking for a team-oriented, highly organized, and proactive problem solver to provide a full range of administrative support to the Digital & Marketing Center of Excellence (DCOE) and its team members. The ideal candidate will have sound organizational skills and a growth mindset along with a track record of building interpersonal relationships with employees at all levels of the organization while upholding a high level of confidentiality. The position will report directly to the Sr Director, Global Consumer Relationships & Engagement, but will also support other DCOE senior team leaders and will work collaboratively with other Kimberly-Clark personnel and executive assistants.

This role is responsible for a broad variety of tasks in support of the DCOE and its team members, some of which include:

Manage an extremely active calendar of global appointments- this includes planning, coordinating, and ensuring the DCOE senior leaders’ schedules are followed and respected.
Provide “gatekeeper” and “gateway” role, creating win-win situations for direct access to the leaders’ time and office.
Research, prioritize, and follow up on incoming issues and concerns addressed to the DCOE team including those of a sensitive or confidential nature. Determine appropriate course of action, referral, or response.
Provide a bridge for smooth communication between the DCOE and internal departments; demonstrating leadership to maintain credibility, trust and support with Enterprise Kimberly-Clark Senior Management.
Work closely and effectively with the DCOE senior leaders to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Act as a “barometer,” having a sense for the issues taking place in the environment and keeping the DCOE team updated.
Provide leadership to build cross-functional and global relationships with key contacts/admins/project leads crucial to the success of the DCOE and the organization.
Prioritize conflicting needs; handle matters expeditiously, proactively, and follow-through on projects to successful completion, often with deadline pressures.
Partner with DCOE senior leaders to arrange and schedule meetings & events, including coordinating the agenda, preparing any meeting materials and or presentations, scheduling the conference space/technology required, coordinate all IT resources and catering. This includes managing and updating the global marketing user list(s) for internal communication and coordination.
For DCOE senior leaders, complete expense reports, compose and prepare confidential communications, arrange complex and detailed domestic and international travel plans, itineraries, agendas and compile documents for travel-related meetings.
Open purchase orders (PO’s) on behalf of DCOE team to expedite work approval.
Work with other Enterprise Executive Assistants sharing best practices and coordinating calendars.
Manage the PO’s within the team to ensure timely processing;
Order materials/equipment in partnership with internal resources on an ad hoc basis
Qualifications:

Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
Excellent interpersonal skills and the ability to build key relationships with cross-cultural stakeholders, including Staff and external partners.
Expert level written and verbal communication skills.
Demonstrated ability to effectively work across all levels of the organization.
Demonstrated proactive approaches to problem-solving with sound decision-making capability.
Highly resourceful team-player, with the ability to also be extremely effective independently.
Proven ability to handle confidential information with discretion, be adaptable to various competing demands and demonstrate the highest level of customer/client service and response.
Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment.
Forward looking thinker, who actively seeks opportunities and proposes solutions.
Education and Experience Requirements:

8 to 10 years or more administrative support in a corporate environment, supporting executive level leaders (i.e., Sr. Dir & Dir)
Proficient in Microsoft Office Suite (Outlook, Word, Excel, and Power Point).
SAP and Workday experience a plus.
Experience working with diverse audiences and/or global experience a plus.
Web based (Concur) travel and expense reporting system knowledge a plus.
